Terms and Conditions

Welcome to Affinity Dance Competition. By registering for and participating in our dance competition, you agree to comply with and be bound by the following terms and conditions. Please review these terms carefully before registering.
1. Registration and Payment
1.1 Registration Process
- All registrations must be completed through our official website
- Each dancer must have a separate registration
- Registration requires creation of a parent/guardian account
- All information provided must be accurate and complete
1.2 Payment Terms
- Payment is required at the time of registration to secure your spot
- We accept credit cards, debit cards, and other payment methods as displayed during checkout
- Early bird pricing is available through the published deadline date
- Regular pricing applies after the early bird deadline
- All fees are in USD and are non-refundable except as outlined in Section 2
1.3 Registration Deadlines
- Registrations must be completed by the published registration deadline
- Late registrations may not be accepted
- Music submissions must be received by the music deadline
2. Cancellations and Refunds
2.1 Cancellation by Participant
- Registration fees are generally non-refundable
- Refunds may be considered on a case-by-case basis for medical emergencies or extenuating circumstances with proper documentation
- Requests for refunds must be submitted via email
- If a refund is approved, processing fees may be deducted
2.2 Cancellation by Organizer
- If the competition is cancelled by Affinity Dance Competition, full refunds will be issued
- Affinity Dance Competition is not responsible for travel, accommodation, or other costs incurred by participants
3. Competition Rules and Conduct
3.1 Skill Level Categories
- Dancers must register in the appropriate skill level based on the published guidelines
- Judges reserve the right to move routines to the correct skill level if deemed necessary
- Routines moved to a different level will be judged and awarded in that level
3.2 Routine Requirements
- All routines must adhere to the published time limits (maximum 3 minutes)
- Music must be submitted by the published deadline in the required format
3.3 Conduct and Sportsmanship
- All participants, parents, and spectators must demonstrate good sportsmanship
- Disruptive, disrespectful, or inappropriate behavior will not be tolerated
- Affinity Dance Competition reserves the right to remove individuals who violate conduct policies
- No refunds will be issued for removals due to conduct violations
4. Liability Waiver and Release
Important: By registering for Affinity Dance Competition, you acknowledge and accept the following liability waiver and release of claims.
4.1 Assumption of Risk
Dance activities involve inherent risks, including but not limited to physical injury. By participating in Affinity Dance Competition, participants and their parents/guardians acknowledge and assume all risks associated with dance performance and competition activities.
4.2 Release of Liability
Participants and their parents/guardians agree to release, waive, discharge, and covenant not to sue Affinity Dance Competition, its organizers, staff, volunteers, judges, sponsors, and the venue from any and all liability, claims, demands, actions, and causes of action whatsoever arising out of or related to any loss, damage, or injury, including death, that may be sustained by the participant while participating in the competition or while on the premises.
4.3 Medical Treatment
In the event of injury or medical emergency, participants and parents/guardians authorize Affinity Dance Competition staff to seek emergency medical treatment. Participants are responsible for all medical costs incurred.
4.4 Personal Property
Affinity Dance Competition is not responsible for lost, stolen, or damaged personal property. Participants are advised to keep valuables secure at all times.
5. Photography and Media Release
5.1 Photo and Video Rights
By participating in Affinity Dance Competition, participants grant permission for photographs, videos, and other media captured during the event to be used for:
- Promotional and marketing materials
- Social media posts and website content
- Future competition advertisements
- Media coverage and press releases
5.2 Opt-Out Option
If you do not wish to grant these rights, you must notify us in writing prior to the competition date. Please note that it may not be possible to completely exclude individuals from all photography and videography during the event.
5.3 Third-Party Photography
Professional photographers and videographers may be present at the competition. Use of their materials is subject to their individual terms and pricing.
6. Judging and Awards
6.1 Judging Criteria
- Routines are judged based on published criteria including technique, performance, choreography, and overall presentation
- All judges' decisions are final
6.2 Awards
- Awards will be given in each category and level as published
- Overall awards and special recognitions may be awarded at judges' discretion
- Awards not collected at the event may be mailed at participant's expense
6.3 Disputes
Any questions or concerns regarding scoring or judging should be directed to competition staff in writing. Disputes will be reviewed but judges' final decisions will stand.
7. Intellectual Property
7.1 Copyright Compliance
- Choreography and routines are the intellectual property of their creators
7.2 Competition Materials
All competition materials, including but not limited to logos, website content, and promotional materials, are the property of Affinity Dance Competition and may not be reproduced without written permission.
8. Privacy and Data Protection
We are committed to protecting your privacy. Please review our Privacy Policy for detailed information about how we collect, use, and protect your personal information.
- Personal information is collected only for registration and competition purposes
- We do not sell or share personal information with third parties except as necessary to operate the competition
- You may request access to or deletion of your personal data by contacting us
9. Changes to Terms and Competition Details
9.1 Terms Modifications
Affinity Dance Competition reserves the right to modify these terms and conditions at any time. Changes will be posted on our website with an updated "Last Updated" date. Continued participation after changes constitutes acceptance of modified terms.
9.2 Competition Changes
We reserve the right to make changes to competition details, including but not limited to:
- Schedule and timing
- Categories and divisions
- Venue location (with advance notice)
- Rules and regulations
Significant changes will be communicated to registered participants via email.

11. Acceptance of Terms
By completing the registration process and checking the acknowledgment box, you confirm that you have read, understood, and agree to be bound by these Terms and Conditions, including the Liability Waiver and Release.
If you do not agree to these terms, please do not register for the competition.
